Web2ink generates three distinct kinds of production/business paperwork automatically from your order and pricing data: invoices, worksheets, and quote PDFs.

Invoices

Every order can generate a formatted invoice PDF pulling directly from the order's line items, pricing, and customer details — useful for sending to wholesale/terms customers, or simply providing a clean receipt beyond WooCommerce's default order email.

Worksheets

A worksheet is production-facing rather than customer-facing — it pulls the design specifics (artwork, colors, placement, sizes) needed for your production floor to actually produce the order correctly, generated from the designer data behind the scenes. This is especially useful for handing physical or digital worksheets to your press/embroidery/production team without them needing to log into the admin themselves.

For store orders specifically, you can also generate vendor worksheets and team-order reports — CSV or PDF summaries useful for coordinating bulk/roster orders (e.g., a full team order broken down by size and name).

Quote PDFs

When a customer or your staff requests pricing without committing to an order (see Offering Instant Price Quotes Without a Full Design), Web2ink can generate a formal price-quote PDF — a clean, shareable document with the same pricing your live checkout would calculate, so there's no discrepancy between the quote and the eventual order.

Where to generate each one

  • Invoice — from the individual order in WooCommerce, or from a store's Invoice tab if it's a store order.
  • Worksheet — from the order detail screen; pulls the saved design's worksheet data automatically.
  • Quote PDF — from the quote-request flow, or generated on demand from a product's instant-pricing screen.
  • Reports (CSV/PDF) — under a store's Reports tab, or the equivalent admin-level vendor reports screen.

Branding these documents

Invoices, worksheets, and quotes are generated from templates that can reflect your shop's branding — check with support if you want your logo or specific formatting added to these documents if it isn't already.

Troubleshooting

  • Worksheet is missing design details — confirm the order came through the designer (rather than being manually added to cart) — worksheets pull from saved design data.
  • PDF generation fails or times out — usually related to a very large or unusual artwork file; try regenerating, and contact support if it persists.
