Store Inventory, Profits & Payouts

Advanced Stores includes built-in tools for tracking stock and paying out store owners their share of the margin. This article covers both.

Store inventory

If a store sells from limited stock (rather than made-to-order), you can track inventory per design/item within the store:

  1. Go to Managed Stores → [Store] → Inventory.
  2. Set stock levels per item.
  3. Configure a low-stock threshold — once inventory drops to that level, you (and optionally the store owner) get notified so you can restock or close ordering before overselling.

Inventory tracking is optional per store — made-to-order stores (most screen-printed team apparel, for example) typically don't need it, while stores selling from pre-printed stock do.

Store profits

Every Advanced Store can be configured with a profit structure — a markup that flows to the store owner (or organization) as their share, separate from your base product price and print charges. This is the mechanism that makes fundraiser-style stores work: the team/school sets a price above your cost, and the difference becomes their profit.

Profit is calculated automatically as part of the pricing engine (see How Web2ink Calculates a Price, Step by Step — store-owner profit is one of the layers in that calculation) — you don't need to manually track margin separately.

Payouts

Store owners can see their accumulated profit from the Profit tab in their store panel. As the platform admin, you manage the actual payout — reviewing what's owed and marking it paid once you've sent funds through whatever method you use outside the platform (check, direct deposit, etc.). The payout admin screen shows pending amounts per store so you can process them in batches rather than store-by-store.

Pay-by-terms and free shipping, scoped to a store

Beyond profit, individual stores can have their own pay-by-terms arrangement (letting approved buyers order without paying immediately) and free-shipping rules, separate from your site-wide settings. This is useful for, say, a corporate account that gets net-30 terms on their company store specifically, without extending that to every customer.

Reports

The Reports tab (and the admin-level reports for vendors) generates CSV and PDF exports: vendor worksheets, store-order summaries, and team-order reports — useful for both your production team and for reconciling what a store owner is owed.

Troubleshooting

  • Store owner says their profit total looks wrong — profit is calculated per order at the time of purchase; check whether pricing or the profit percentage changed after some of those orders were placed (that would explain a mix of old and new profit rates).
  • Inventory not decrementing — confirm inventory tracking is actually enabled for that specific design/item; it's opt-in per item, not automatic for the whole store.
