Switching support tools sounds terrifying. It doesn't have to be. A field-tested checklist for a clean cutover.

Teams stay on tools they've outgrown because migration feels risky. With a plan, a cutover is an afternoon — not a quarter.

The clean-cutover checklist

  • Import contacts and recent conversations so context comes with you.
  • Point your support email at the new inbox and send a test thread.
  • Drop the chat widget on a staging page, then production.
  • Recreate your top saved replies, tags and one SLA policy.
  • Run both tools in parallel for a few days, then flip the default.

Tell your customers nothing changed

The best migration is invisible. If your branding, domains and response times stay consistent, customers never notice — they just keep getting help.
